Your data belongs to you.
TrailScout stores your career history so you can build, improve, and reuse it, not to monetize it. This policy explains what we collect, why, and what you can do about it.

Private by default
Resumes, career history, notes, and AI outputs are scoped to your account and never shared with other users or made public.
Exportable
You can export your career archive in portable formats. Your data should not be trapped inside any tool.
Deletable
You can delete individual items or your full account at any time. Deletion removes your data from our systems.
What We Collect
Account information
Email address, password (hashed, never stored in plain text), and the region or country you declare during signup. Region is used to adapt resume and CV guidance to local norms and to support applicable privacy obligations.
Career materials you upload or create
Resumes (files and extracted text), job descriptions you paste, career history entries, notes, coaching reflections, interview prep notes, and any other content you add to your account. This content belongs to you.
AI interaction records
Requests sent to TrailScout features (e.g., resume tailoring, study deck generation) and the outputs returned. We store status and error information. We do not log raw prompt history beyond what is needed to deliver and improve the feature for your session.
Usage and technical data
Standard server logs including IP address, browser type, pages visited, and timestamps. This data helps us diagnose errors, monitor performance, and understand how features are used in aggregate.
Cookies and local storage
TrailScout currently uses only functional cookies required to maintain your authenticated session (set by Supabase Auth). These are strictly necessary and cannot be declined without breaking the product. We do not currently use advertising or analytics cookies. If we add analytics tools such as Google Analytics in the future, we will update this policy and add a consent mechanism before enabling them.
How We Use Your Data
To provide the service
Your career materials are stored and used to power the features you use: resume tailoring, study decks, interview prep, and coaching tools.
To generate AI outputs for you
Your content is sent to our AI providers to produce outputs requested by you. Outputs are returned to your account and not shared with others.
To improve TrailScout
Aggregate, de-identified usage patterns help us understand which features are working and where to invest. We do not use individual private career data for platform training.
To communicate with you
We may send transactional emails (password reset, account confirmation) and, with your consent, product update emails. You can opt out of marketing emails at any time.
To comply with legal obligations
We may process or retain data as required by applicable law, and may disclose data in response to lawful legal process.
We do not sell your data
TrailScout does not sell, rent, or trade your personal information or career data to third parties for their own marketing purposes.
AI Processing
TrailScout uses third-party AI providers to generate career content, study materials, and coaching responses. When you use an AI-powered feature, relevant content from your account is sent to the provider to produce your requested output.
Current AI sub-processor
OpenAI, L.L.C. is used for resume tailoring, study deck generation, interview prep, and coaching features. TrailScout uses API configurations that opt out of OpenAI using submitted content for model training where that option is available. OpenAI's privacy policy governs their handling of data: openai.com/policies/privacy-policy.
AI outputs may contain errors
AI-generated content is a starting point, not a final answer. Always review, edit, and verify resume content, career materials, and coaching suggestions before acting on them. TrailScout does not guarantee career outcomes.
Sub-processors and Third Parties
TrailScout shares data with the following infrastructure and service providers to operate the product. We do not share data with advertisers or data brokers.

Cookies
Strictly necessary cookies (always active)
Session and authentication cookies set by Supabase Auth. These are required for you to log in and use the product. They expire when your session ends or after a set period. You cannot opt out of these cookies while using TrailScout.
Analytics cookies (not currently active)
We do not currently use Google Analytics or any other analytics cookie. If we add analytics in the future, we will display a consent banner before setting any analytics cookies and will not load those scripts until you accept. You will always be able to decline analytics cookies without losing access to the product.
Advertising cookies
TrailScout does not use advertising cookies and has no plans to do so.
Data Retention
We retain your data for as long as your account is active. When you delete content, it is removed from active storage promptly. When you delete your account, your profile and associated career data are deleted. Some data may be retained for a short period in encrypted backups before permanent removal. Server log data is retained for up to 90 days for security and debugging purposes.
Your Rights
Depending on where you live, you may have rights over your personal data. TrailScout will honor these regardless of your location.
Access
Request a copy of the personal data TrailScout holds about you.
Correction
Ask us to correct inaccurate or incomplete personal data.
Deletion
Request deletion of your personal data and account. You can initiate this from your account settings.
Portability
Request an export of your career data in a portable format.
Opt out of marketing
Unsubscribe from marketing emails at any time using the link in any email we send.
California residents (CCPA)
You have the right to know what personal information is collected, to delete it, to opt out of its sale (we do not sell it), and to non-discrimination for exercising these rights.
EU/EEA/UK residents (GDPR)
You have additional rights including the right to restrict processing, object to processing, and lodge a complaint with your local supervisory authority.
To exercise any of these rights, email privacy@trailscout.app. We will respond within 30 days.
Children's Privacy
TrailScout is intended for users who are 18 years of age or older. We do not knowingly collect personal data from children under 13 (or under 16 in the EU). If you believe we have inadvertently collected such data, please contact us at privacy@trailscout.app and we will delete it promptly.
Sponsors
Sponsors may fund access to TrailScout or receive clearly labeled brand visibility within the product. Sponsors receive zero access to private user data: no resumes, career history, AI conversations, coaching notes, job search records, or any personally identifiable information. Sponsorship and user data are kept entirely separate.
Changes to This Policy
We may update this policy as the product evolves. When we make material changes, we will notify you by email and update the effective date at the top of this page. Continued use of TrailScout after a policy update constitutes acceptance of the revised policy.
